How We Use Your Information

We use your information to provide the AI receptionist service, including answering calls and sending SMS summaries.

SMS Communications

By providing your phone number during signup or account setup, you explicitly consent to receive SMS notifications from AppointmentFlow.ai. These messages may include call summaries, appointment details, and service updates.

• Frequency: Message frequency varies based on your inbound call volume.
• Opt-out: Reply STOP to any message to unsubscribe from SMS notifications.
• Help: Reply HELP for assistance.
• Rates: Message and data rates may apply.
• Providing consent to receive SMS is not required to purchase or use our service.

You can revoke SMS consent at any time by replying STOP or contacting us.

Message delivery is subject to your wireless carrier’s coverage and policies. AppointmentFlow.ai is not liable for delayed or undelivered messages. Service is not available on all wireless carriers.

Data Sharing & Security

We do not sell your data. We share information only with the service providers that power AppointmentFlow.ai — Twilio (telephony and SMS), Retell AI (voice agent), Supabase (database and authentication), and Stripe (billing) — and only to the extent necessary to operate the service. Each provider is bound by contract to use information only to provide their service to us.

No mobile information — including phone numbers and SMS opt-in data — will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors that provide support services (such as customer service) is permitted only to the extent required to deliver those services. All the above categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.

We use industry-standard administrative, technical, and physical safeguards to protect information, including encryption in transit and at rest, row-level security in our database, and least-privilege access controls. No system is perfectly secure, and we cannot guarantee that information will never be accessed improperly.
